What These Settings Control

  • Address — your organization's physical address. Rhythm uses it on documents and communications it creates for you, including the address merge fields in confirmation emails, receipts, and invoices. Enter and select an address here before you add a country merge field to a printed invoice, or the country stays blank even after you add the field.
  • Time zone — the zone Rhythm uses to calculate organization-wide dates, such as "today" for due dates and renewals. Because your Rhythm account uses one time zone, an applicant in a different time zone may not see their local calendar date preserved exactly on a certification or membership application.
  • Email identity — the sender address, sender name, reply-to address, and footer on email Rhythm sends for you through its own email service. These settings do not change anything your organization sends through another system or through its own domain outside Rhythm.
  • Logo — your organization's logo. It appears on your sign-in page, your portal, and the Console header, and Rhythm uses it for the logo merge field in templates and billing-run email previews.
  • Account name — your organization's display name. This is separate from your address, email identity, and logo, so changing one does not change the others. Your account name appears in the Console header and in merge fields that show your organization's name in templates.

Rhythm saves the address, time zone, and email identity together for each Rhythm account, so the same save rules apply to all three. Your live account and each sandbox save these values separately.

Tip

If you rename your organization, this article does not cover every place your name and branding appear. For example, your portal's site title and sign-in page title can need their own updates.

Where to Find Them

Setting Where
Address and time zone System & Security › Other Settings (the page for other account settings)
Email identity The email settings screen; see Email Settings: Senders, Reply-To, Footer, and Sandbox Redirects
Logo Rhythm changes this for you; contact Support
Account name Your organization's administration settings, if you have access; otherwise Rhythm changes it for you — contact Support

Address and Time Zone Settings

Setting Options Default Effect
Address: Start typing in Full street address, city and state and choose a suggestion, or open the address fields: Line 1:, Line 2:, Line 3:, County:, City:, State: (or Province/Region: outside the US), Postal Code:, Country: Empty This is your organization's address. After you enter or edit it, Line 1: and City: are required, and State: is required for a US address. Outside the US, City: is still required even when Province/Region: is filled in; leaving City: empty makes the address invalid and can block saving records that depend on it, such as orders. Rhythm's required address parts are fixed and cannot be reconfigured. To remove the address, clear all address fields
Timezone: Every world time zone, for example America/Chicago The screen shows America/New York when no time zone has been saved This is the zone Rhythm uses to calculate your organization's dates

Entering an Address

When you start typing in Full street address, city and state, Rhythm suggests addresses through a Google Maps address lookup. Typing or pasting text there does not fill in the validated address by itself, so parts such as the postal code can stay blank or fail to update until you choose a suggestion. If the lookup cannot load, the field can turn gray with an exclamation mark or show undefined instead of suggestions; reload the page and try again. Because autocomplete sometimes fills in the wrong value, expand the address fields and check what Rhythm filled in before you save, especially for an address outside the US.

You do not always see a separate Country: field right away. The first time you open the address fields, you may only see fields such as Line 1:, City:, and State:; Country: fills in after you choose a suggested address.

The names in Country: are standardized. They generally follow the ISO country-name standard, and Rhythm may update a name when that standard changes. A one-off request to rename a value is treated as a larger product change because the list is shared and reused elsewhere, so renaming it can affect more than your address. Built-in address fields get country and state names from the same Google address lookup, so what you see reflects how Google classifies a place. For example, Google treats Puerto Rico, Guam, and the U.S. Virgin Islands as territories, so they appear in Country: as well as in Province/Region:, and choosing one from the address suggestion tool sets both fields. If another address is mapped incorrectly, treat that as a separate lookup problem rather than a reason to turn off address lookup. There is currently no setting to disable it and always show the manual fields instead.

Change the Address or Time Zone

  1. Go to System & Security › Other Settings.
  2. In the account settings section, edit Address:. To change a saved address, select the arrow beside it and refine the address, or select click here to enter a different one. Expand the address fields and check what Rhythm filled in before you save, so you catch an autocomplete mismatch before it causes a problem later.
  3. Choose the Timezone:.
  4. Select Save Changes.

Result

The message Settings saved successfully appears, and the page reloads with the saved values. Date calculations start using the new time zone within about a minute.

To discard your edits, leave the page and confirm You have unsaved changes! If you leave, your changes will be lost. The Cancel button does not undo edits.

Warning

If you have never saved a time zone, the screen shows America/New York as though it is already set, and Rhythm calculates your organization's dates in New York time. If your organization uses another zone, choose it and select Save Changes so Rhythm saves the value.

Email Identity

You manage these values on the email settings screen. They save with your address and time zone, so the rules below apply whenever you save any of those settings.

Setting Default when empty Effect and rules
Default sender address Email is sent from notifications@rhythmsoftware.com This is the address recipients see as the sender. It must be a valid email address, and it must be verified before you can save these settings. If a message names its own sender, Rhythm uses that sender instead
Sender name Your Rhythm account's name, then "Rhythm Software" This is the name recipients see. It is required whenever any email setting is filled in, so Rhythm refuses a save that includes only a reply-to address or footer
Reply-to address Replies go to the message's own reply-to or sender first When a message names neither its own reply-to nor its own sender, replies go to this address. It must be a valid address, but it does not need to be verified
Footer None Rhythm adds this to the body of every email it sends for you through the email sender. Some notifications, such as task-assignment email, are sent another way and do not include it
Additional sender addresses None Other addresses your messages may send from, such as events@ or membership@. Each address must be verified

Changes to email identity take effect within about ten seconds.

Verifying a Sender Address

Before Rhythm can use an address as a sender, the mailbox owner must prove they control it. Rhythm can send a verification email to each unverified sender address, and it typically arrives within a few minutes after you request it. The message is an Amazon-branded "Email Address Verification Request" with a link, not a Rhythm email. If it does not arrive, check spam or junk folders and confirm mail from Amazon Web Services is not being filtered. After the link is clicked, save the settings again.

Verifying a whole sending domain, rather than single addresses, is done with DNS records; see Set Up Your Domains: The DNS Worksheet.

Why a Save Is Refused

What you see Cause What to do
Unable to save settings, with a message that an email address "has not been verified" A sender address saved with these settings is not verified. Every save checks every sender address, so this also blocks an address or time zone change if a sender address has lost its verification Verify the address again, or remove it from the email settings, then save
A message listing fields that are not valid email addresses A sender, reply-to, or redirect address is not in a valid email format Correct the address
A refusal saying the sender name is required An email setting is filled in without a sender name Add the sender name
You haven't entered a valid value for Address The address is missing required parts Complete Line 1:, City:, and State: for a US address
Unable to load settings Rhythm could not read the settings Reload the page; if it persists, contact Support

Your Rhythm Account Logo

Rhythm keeps your logo with your Rhythm account, not on the Other Settings page. It appears on your sign-in page, your portal, and the Console header, and Rhythm uses it for the logo merge field in templates and billing-run email previews. Rhythm staff maintain this logo through Rhythm's administration area rather than through a setting you can reach yourself. To change it, send the new image to Support.

Change Impact

  • Address and time zone apply to your whole organization in the Rhythm account you update. Your live account and each sandbox save their own values.
  • Some templates keep their own copy of your address instead of reading this setting live. After you change the address, check your templates so they still show the right one.
  • Email identity changes apply to email sent after the change. If you remove the default sender address, future email is sent from notifications@rhythmsoftware.com.
  • To return to an earlier value, enter it again and save. Note the current values before you change them.
