How Fulfillment Is Triggered

Once an order is processed, Rhythm still needs to tell each application that sold a product to deliver it. Delivery might mean shipping an item, activating a membership, confirming a registration, or granting access. This article explains when Rhythm gives that go-ahead, and why a paid order might still show as not delivered.

The Decision Happens at Processing

When an order is processed, Rhythm decides whether each purchase can be delivered right away or must wait for payment. The timing depends on the order type:

  • Pay-later, installment, and membership orders are typically fulfilled when they are processed, before they are paid in full. The buyer or member receives what they bought while the invoice remains open.
  • An order paid by cash or check waits until a later invoice update records the payment.

This is why an unpaid order can already show as delivered, while a paid order can still show as not delivered. The timing depends on the situation that applies to the order, not just whether the order is paid when you view it.

Order status can lag behind the delivery decision. On a Pay Later order with more than one invoice line, a membership can advance while the order status stays Open. When a Pay Later order includes both a $0 line and a paid line, the order should stay Awaiting Payment until payment is received, instead of showing Completed early. A paid registration order, including one for a product with no shipping, should move to Completed once it is fully paid. If it sometimes stays Open or Unfulfilled instead, treat that as unusual rather than expected, and check the order directly instead of assuming nothing was delivered. The same thing can happen to a paid membership order, including one with chapter dues: the membership dates can update correctly while the order stays open.

After a membership renewal order is paid, the order number on the membership record can take a moment to update. The membership typically shows the newest order number within 15 to 20 seconds, even though the full update finishes within about 30 seconds.

Warning

Payment status and fulfillment status are tracked separately, and a processing failure can leave them out of sync in a way that does not fix itself. If you fix an invoice's Paid status, for example by re-saving it, but the related order still shows Unfulfilled or is missing payment information altogether, fix the order directly instead of waiting for it to catch up.

An order can also show a linked payment and a zero balance due while still remaining Open. Downstream processes, such as membership date updates, can depend on the order reaching a normal completed status, so correct a stuck order like this instead of leaving it open.

A donation product's fulfillment depends on the fundraising application creating a matching gift record. If fundraising is not enabled on your Rhythm account, that record is never created, so the donation line can stay unfulfilled and keep the order Open or Awaiting Payment, even when the invoice is fully paid with a zero balance due. A paid donation order is intended to move to Completed even when a fundraising record cannot be created, but that behavior is still under review. For now, do not assume every paid donation order completes automatically.

What "Delivered" Triggers

When Rhythm decides a purchase can be delivered, it commits any physical stock used by that purchase. Rhythm then announces the order to the applications that sold the items, so each application can do its part: ship a physical item, activate a membership, confirm an event registration, or grant access. After that point, the selling application handles delivery instead of Orders & Inventory, and that application controls how quickly its screens reflect the delivery. A paid event registration order whose fulfillment is already shown on the order should recalculate from Open to Completed once payment is recorded.

If a line was waiting on payment when the order was processed, Rhythm announces it after the invoice is updated to show the payment came in. This later announcement happens only for lines that were not delivered during processing, so Rhythm does not announce the same line twice.

On the Shipping and Fulfillment Overview screen, Awaiting Pickup is specifically for items fulfilled through in-store pickup that have not yet been delivered or collected. Use it only for that pickup scenario, not as a general holding status for a bulk shipping run.

Orders for digital products with no shipping should not appear in the shipping queue because there is no shipping to track. If you sell a digital product, disable shipping for it and track fulfillment through the selling application instead. For the same reason, a paid, non-shippable order, such as a course or event registration bought through your store, can be marked Completed with a shipping status of Unfulfilled. There was never anything to ship, so that combination does not mean delivery failed.

Inline bundled products do not support fulfillment-dependent outcomes. If a product bundles a membership inline with another item, buying it does not activate that membership for a non-member buyer because the fulfillment logic that would activate it never runs for an inline bundle. The same is true for an event registration bundled the same way: adding an event registration as an inline bundled product does not register the buyer for that event because fulfillment does not occur for that bundle type. Rhythm shows a warning wherever Inline Bundling is selected in a product's Bundled Products configuration to flag this. Use Regular Bundling instead of Inline Bundling for any bundle that needs to trigger a fulfillment-dependent outcome, such as activating a bundled membership or registering a buyer for a bundled event.

A pay-later order can generate more than one email over its lifetime. When the order is created, Rhythm sends an automatic receipt and a link to the open invoice. After the order is paid, Rhythm sends a separate thank-you-for-payment email. Rhythm does not announce a line again for fulfillment after payment if that line was already delivered when the order was processed, so an item-specific message tied to that delivery, such as a membership welcome email, might not send again at payment time.

Tip

If a customer's product has not shipped or become available even though the order shows as paid, check whether the order status has moved past awaiting payment to a shipping or fulfillment status. For a store order with shipping enabled, an unpaid order shows as awaiting payment. After payment is recorded, it moves to awaiting shipping, and shipping can begin. If something a customer paid for is missing after checkout, such as an application record another application was supposed to create, the order is likely still sitting in an unfulfilled or not-delivered status. The same applies to a purchase like a job posting: an order that is still open or unpaid will not produce a usable posting until payment triggers the announcement that lets the selling application deliver it.
