What This Does
Reopening a fiscal period reverses the close so you can fix a mistake, then close the period again. For each business unit, Rhythm only lets you reopen the period immediately before the current period. You reopen it manually from this Console page; Rhythm never reopens a closed period on its own.
If you need to correct transactions that posted with the wrong general ledger setup, such as a fee’s revenue account, update that setup first. Then reopen the closed fiscal period that contains the affected batches, unpost each batch, and repost it so it uses the corrected setup. See Create or Edit a Batch for unposting and reposting.
When to Use It (and Not)
Use this when you closed a period and then found something that needs to change, such as a batch that should have posted before the close. If a transaction belongs to a closed month-end close period, Rhythm can block you from moving, correcting, or reassigning it until you reopen that period. When a correction does not seem to go through, check whether the transaction belongs to a period that is already closed. Do not use this to go back more than one period, because Rhythm only offers the most recently closed period for reopening.
For example, if a payment appears twice on the Subledger Entries report, reopen the fiscal period that contains the affected batch. Then unpost the batch, repost it, and close the period again to clear the duplicate.
Prerequisites
- You have finance power-user or administrator access to reopen a period.
- The period you want to reopen must be immediately before the current period, making it the most recently closed period for that business unit.
Steps
- Go to Finance & Billing › Month End Close, and choose the right business unit with the working business unit control if your association has more than one.
- Select Reopen Previous Fiscal Period.
- Confirm when Rhythm asks whether you’re sure you want to reopen the previous fiscal period.
Variants
- A later period is still mid-close. Rhythm blocks the reopen when a later period is already closing, and you can try again after that close finishes.
Result
Rhythm reopens the period in the background, and the page shows a waiting message while it works. When the reopen finishes, the period’s status changes back to Open, batches can post into it again, and it becomes the current period.
Side Effects
Reopening a period lets new batches post into it again. Make your correction, then close the period again promptly so the rest of your books stay in step. If you changed how deferral batches are generated, reopen the period and close it again so existing deferral batches pick up the updated behavior. Their output does not refresh until you do.
What to Do If It Fails
- Reopen Previous Fiscal Period is unavailable, or Rhythm says a later period must be reopened first. All periods after the one you’re trying to reopen must already be reopened, starting with the most recent. The Month End Close page only offers the single period immediately before the current one, so this usually comes up only if something changed elsewhere.
- The reopen doesn't seem to finish. Rhythm processes a reopen in the background. Wait a few minutes, then refresh the Month End Close page to see the latest status before trying again.
- The reopen fails, or shows an error even though nothing looks wrong. This can happen when an earlier close or reopen workflow for that fiscal period is still running in the background and blocks the new attempt. Refresh the Month End Close page before treating the error as final. The period’s status has been observed to show Ready to Close even after the reopen reported a failure. If the status still shows the period as closed, try again.
- Reopening a period with a large amount of revenue recognition activity fails or behaves unpredictably. This has been observed on periods with an unusually large volume of revenue recognition schedules. Contact Support with the business unit and period; you cannot resolve this from the Console.
- The reopen still hasn't completed after refreshing and waiting. Contact Support with the business unit and period you’re trying to reopen.
