An accreditation keeps its own copy of the school’s name, separate from the school’s organization record in CRM. This article explains where that name comes from, when Rhythm updates it for you, and what you see when Rhythm cannot find the school behind an accreditation.
Where the Name Comes From
Every accreditation is tied to one school, which is an organization record in CRM. When you create or edit an accreditation and save it, Rhythm reads the school’s current organization name and copies it to the accreditation. Rhythm does this every time you save, so anything you enter in the accreditation’s Name: field is replaced with the school’s actual name.
That is why the Name: field is required when you add or edit a school’s accreditation, even though you do not control the final saved value. The field appears on the form, but Rhythm overwrites it with the school’s name before saving the record.
Renames Reach Existing Accreditations Automatically
When you rename a school’s organization record in CRM, Rhythm updates more than that one record. It finds every accreditation tied to that school and updates each accreditation’s name to match, without anyone opening or resaving those accreditations. You do not need to open each program’s accreditation for that school to see the new name. The update happens on its own a short time after you save the rename, but it may not happen instantly.
That is why an accreditation’s name can change even when no one edited the accreditation directly. Someone changed the school’s name in CRM, and each accreditation tied to that school updated to match.
Tip
If you rename an organization and a related accreditation still shows the old name, give it a little time before assuming something is wrong. If the school has an unusually large number of accreditations across programs, some may take longer to catch up than others.
Warning
Merging one organization into another is different from renaming one, and Rhythm does not make the same automatic update after a merge. If a school’s organization record is merged into a different organization record, its accreditation application is not automatically updated to reflect the merge. Accreditation-related details on the surviving record are also not guaranteed to carry over, including team candidate status, accreditation custom field values, and site visit information such as team members, activities, and evaluations. If a school you accredit is involved in an organization merge, check its accreditation, team candidates, and site visits afterward, and correct anything that did not come across.
When Rhythm Can't Find the School
Every accreditation must name a school, but the name lookup can occasionally come back empty. For example, Rhythm may not be able to read the organization record at the moment you save the accreditation. When that happens, Rhythm still saves the accreditation and names it Unknown Organization.
If the lookup fails during a save, Unknown Organization replaces whatever name the accreditation had before, even if that previous name was correct. Seeing Unknown Organization on an accreditation does not necessarily mean the school was deleted or is missing. It means Rhythm could not complete the name lookup at the time of that save. Save the accreditation again after the school’s organization record is reachable, and Rhythm replaces the placeholder with the school’s real name.
