Organizations use web forms that your Rhythm account designs, just like contacts do. Each organization also opens to a 360 page, and your account can design that layout as well. This article explains the account-wide defaults for both: the forms staff and Portal administrators use to create, edit, and view an organization profile, and the 360 screen layout organizations open to in the Console.

Prerequisites

  • You need access to the Organizations setup area in your Rhythm account.
  • You need at least one active organization web form before you can choose a default create, edit, or Portal profile form.
  • To open organizations in a custom 360 layout instead of the built-in layout, that 360 screen design must already exist in your Rhythm account.

Set the Default Organization Forms

Go to Rolodex (CRM) › Setup › Organizations › Forms, then select Configure Defaults. The dialog includes two cards.

Card Setting Effect
Console When creating a new organization: Sets the default form staff use when they create an organization
Console When editing an existing organization: Sets the default form staff use when they edit an organization
Portal Do not allow organization name changes in the portal Turns off the organization name field on Portal organization-profile forms for organizations that already exist. A new organization created from the Portal can still be named
Portal When an organization administrator is updating their organization profile: Sets the default form a Portal organization administrator uses to update their organization profile

All three form pickers are required. Each picker shows the active organization web forms in your Rhythm account, and the Console picker groups those forms by form type.

Tip

When you design an organization form’s field groups, you may see two selectable Billing Address fields. One of them does not work correctly in the Portal, so use the other Billing Address field for that field group.

Tip

The organization logo field always keeps its file-upload, or “choose file,” option. You cannot make it URL-only. If you also enable the URL option, Rhythm shows it as an additional choice alongside file upload, not as a replacement.

These defaults apply across your Rhythm account. An organization type can have its own create, edit, and Portal profile forms, and those forms override these defaults for organizations of that type. These defaults apply only to organizations whose type does not name its own form, or to organizations with no type. See Organization Types to set forms for an organization type. This dialog does not show which types override the defaults, so a change here may not affect organizations whose type already names a form.

If Rhythm cannot find a form for a mode from either the organization type or the account default, the Create Organization or Edit Organization page cannot open. The page shows Unable to determine form, with the message No console create organization web form configured. Please configure the appropriate form in Rolodex settings. or the edit equivalent, and stays on its loading panel until an administrator sets a form.

Set the Default 360 Screen

An organization’s 360 page gives staff one place to see everything Rolodex knows about that organization. When your Rhythm account has custom 360 screen layouts, you can choose the layout organizations open to by default.

Go to Rolodex (CRM) › Setup › Organizations › 360° Screens, then select Configure Defaults. The dialog has one picker, Select the Default 360° Screen:, which lists every organization 360 screen your Rhythm account has designed, grouped by screen type. When you leave the picker set to Use Default, organizations open to Rhythm’s built-in 360 layout.

Warning

If you delete the 360 screen currently set as the default, the setting still points to that screen. The picker then shows a selected value with no visible name, and organizations keep trying to use the deleted screen instead of falling back to the built-in layout. Choose a different default, or clear the picker back to Use Default, before you delete a screen set here.

Dependencies and Precedence

  • Organization type forms override the account defaults. When an organization type has its own create form, edit form, or Portal profile form, Rhythm uses that form before anything chosen here for organizations of that type only. See Organization Types.
  • The 360 screen default has no such override recorded per type. It applies to every organization that opens the Console 360 page, unless a different Console hosts the same organization under its own screen choice.
  • Both dialogs save your account's whole settings record, not only the fields they show. This does not change how these fields work, but saving either dialog also re-saves every other Rolodex setting exactly as it stood.

Change Impact and How to Revert

Changing a default form or the default 360 screen takes effect the next time someone opens the affected page. Rhythm does not rewrite existing organization records. To revert a form choice, reopen the dialog and choose the previous form, or clear the picker; if the picker is required, you must fill it before Rhythm will save. To revert the 360 screen choice, choose the earlier screen, or clear the picker to return to Use Default.

Permissions

Setting the default organization forms requires access to your Rhythm account’s Organizations setup, specifically the Organizations Forms page. Setting the default 360 screen requires access to the Organizations 360° Screens setup page, which has its own permission. Without that permission, the Configure Defaults action is unavailable and disabled, not just hidden. Both actions are typically limited to CRM administrators.

If the Configure Defaults action for Organization 360 screens appears greyed out even though you believe you have the correct permission, this can be a display issue rather than expected permission behavior. Confirm your permission is correct, and contact Support if the control still will not enable.

Validation and Errors

All three form pickers in the Configure Default Organization Forms dialog are required. If you leave one empty and select Save Changes, Rhythm shows a form-errors list that names the missing picker, and nothing is saved until you fill it in. The 360 screen picker is not required; saving it empty is the same as choosing Use Default.

If a save fails for another reason, such as another person changing your account’s settings record at the same moment, you see an error message with the underlying reason. Your choices stay in the dialog so you can try saving again.
